Advanced Search

Having done a selection of records who were born between two years and in London I get a list of records that result … brilliant … but I now wish to sort the list on date and then print … or maybe download the results to Excel where I can then sort and print … any ideas how I can do this? Advanced searching is excellent but seems to lack sort and print options, or have I missed something?

Publish>Reports and Charts>Individual List>List Type>Selected People>Include?>Select from list>Mark>By data fields

I usually start by making a group rather than by doing an Advanced Search. The criteria for making the group can be the same as the criteria for the Advanced Search.

I can then filter People List View by the group and I can set up columns as needed. I can sort by any one column. This is just to view on the screen. It does not make reports or download to Excel. But honestly, most of the time that’s all I need and I don’t need to go any further.

If I do need to go further, I can then make reports based on the group. The Individual List is one such report option. It’s a very nice option and is easy to use. I can also make Custom Reports with columns defined as needed and I can sort on multiple columns. Custom Reports are a little more work to set up, but the extra work can sometimes be worth the trouble.

Finally, I can save reports to files in various formats. PDF and DOCX and TXT are always available. Custom Reports can also be saved as XLSX or CSV, either of which can be opened with Excel.

Groups can be Simple groups or Rules groups. I make Rules groups 99.9% of the time. With Simple groups, the criteria are not saved. You do get a group, but if you need to recreate it then you need to re-specify the criteria. With Rules groups, the criteria are saved and you can refresh the group with a single click, like if you have added new people to your database who might match the group’s criteria.

Jerry thank you so much for your help unfortunately I am currently doing an evaluation before making a purchase so I cannot access the groups functions …

agreed – unless it was a one time thing - but even then its probably worth make a group and deleting later if not needed (vs Advanced Search)

In that case, some of the other things I was suggesting may not work. For example, I can’t remember if Custom Reports or the ability to save as an XLSX file are in the Essentials version that you are evaluating.
